Start with visible data only
The extension is built around contacts visible in the current WhatsApp Web session. A responsible workflow starts with groups your account can already access and avoids any expectation that hidden, private, deleted, or inaccessible contact data can be exported.
Export for review, not automatic outreach
A spreadsheet export should create a review step. Before using the list, remove contacts that do not belong in the workflow, dedupe against existing systems, verify source group context, and decide which rows are appropriate for the intended business process.
Use only the fields you need
Data minimization matters. If a simple sales handoff only needs phone number, country code, public display name, and source group, do not export extra status or message-context fields. If a support or operations workflow needs more context, document why those fields are useful and who can access the exported file.
Add consent and policy checks
Every team has different rules for communication, consent, retention, and customer data. Add a consent-review or approval column before CRM import or campaign handoff. If the list includes students, parents, customers, event attendees, buyers, vendors, or investigation-related contacts, apply the stricter internal policy before outreach.
Keep the CRM clean
Do not import raw WhatsApp group exports directly into a CRM. Use a spreadsheet or the WhatsApp CRM import template to normalize names, phone numbers, country codes, source groups, owner assignment, stage, next action, and notes before upload.
Limit access to exported files
Exported spreadsheets can be copied or forwarded easily. Store files where your team normally manages business data, limit access to people who need the list, and remove old exports when they are no longer useful. If your organization has retention rules, follow them.

Responsible-use checklist
- Export only groups your WhatsApp account can access.
- Use only the fields required for the workflow.
- Review, dedupe, and remove irrelevant rows before follow-up.
- Add owner, source, next-action, and consent-review columns before CRM import.
- Limit spreadsheet access to the team members who need it.
- Follow your internal policy and applicable rules for communication and data handling.
