Guide

Import WhatsApp group contacts into your CRM.

A generic, CRM-agnostic route from a WhatsApp Web group to HubSpot, Zoho CRM, Salesforce or similar, using each CRM's standard file import.

Before you start

WA - Download Group Phone Numbers does not connect to or sync with any CRM. It downloads an Excel (.xlsx) workbook, not a direct CSV file. You then use your CRM's own contact import, which almost every CRM supports for CSV or Excel files.

Steps

  1. Export the group with the extension and choose phone number, country code, saved name, public display name and source group columns.
  2. In Excel, remove rows you are not authorized to store and delete duplicates.
  3. Rename headers to match your CRM, for example First Name, Phone Number and a custom Source or Lead source field.
  4. Format the phone column as text so country codes and leading digits stay intact, then save as CSV UTF-8 if your CRM asks for CSV.
  5. In HubSpot use Contacts → Import; in Zoho CRM use Leads or Contacts → Import; other CRMs have a similar import screen. Map columns, set duplicate handling to match on phone number, and run a small test import first.

Keep consent records

Record where each contact came from (the group name column helps) and whether you have permission to contact them. Many CRMs need a lawful basis or subscription status field before marketing email or messaging.

Responsible use

Export only contacts visible to an account you are authorized to use. Remove irrelevant rows, document consent or internal approval where required, and follow applicable policy and law. WA - Download Group Phone Numbers is independent and is not affiliated with WhatsApp or Meta.
